Hospitality Technology Experience

Real Technology Projects Delivered in Hospitality Environments

Hotel technology projects are rarely just about installing a new system. They often involve live operations, guest impact, multiple suppliers, older infrastructure and very limited tolerance for downtime.

Members of our team have delivered and supported technology projects across hotels, spas, resort groups and membership-led hospitality businesses, covering infrastructure, telephony, payments, booking technology and guest-facing systems.

Experience Across Hospitality Technology
Live hotel and spa environments
Network and infrastructure transformation
Cloud telephony migrations
Guest payments and cashless technology
Booking platforms and third-party suppliers
Bespoke operational technology solutions
The examples below reflect projects and programmes delivered by members of our team across hospitality organisations and technology environments.
01
Network & Infrastructure

Core Network Transformation Across Hoar Cross Hall & Eden Hall

Members of our team delivered a major network infrastructure programme across Hoar Cross Hall and Eden Hall, replacing core switching infrastructure and improving the underlying network design across both properties.

The work included replacement of core switches, changes to the wider network infrastructure and a review of how devices, systems and services were separated across the environment.

VLANs were redesigned and reconfigured to provide clearer separation between different types of technology and users, helping strengthen the environment against Cyber Essentials requirements while also creating a more structured platform for future growth.

Particular attention was given to resilience and the operational dependency hotels and spa environments place on Wi-Fi, payment systems, business systems and connected technology.

Project Outcomes
Replacement of core network switching infrastructure
Improved network resilience across both properties
Reconfigured VLAN structure and improved network segmentation
Infrastructure better aligned with Cyber Essentials controls
Improved foundation for future systems, capacity and business growth
02
Hotel Telephony

Group-Wide Cloud Telephony Migration for Barons Eden

Members of our team delivered the move from individual on-premise telephone systems to a cloud-based 3CX telephony platform across the Barons Eden group.

The objective was to create a more modern and manageable group telephony platform while avoiding disruption to hotel and spa operations.

The migration was carefully planned around live operational hours. Cutover activity was completed outside normal trading periods and during the night so that guest-facing teams could continue to operate without daytime telephone downtime.

Moving to a cloud platform also gave the group a more consistent approach to telephony across multiple properties and reduced the reliance on separate legacy systems at each site.

Project Outcomes
Migration from site-based on-premise telephony to cloud 3CX
Consistent telephony platform across the group
Cutover work completed outside daytime operating hours
No planned daytime operational downtime during migration
Reduced dependency on individual legacy telephone platforms
03
Booking Technology

Supporting the Delivery of a New Group Booking Engine

Members of our team worked alongside a third-party technology supplier and a large hotel group during the specification and delivery of a new booking engine.

The role involved acting as the link between the hotel business and the external supplier, helping ensure that operational requirements were properly understood and translated into the proposed solution.

Technical and operational requirements were reviewed as part of the process, with the team helping to challenge the design where appropriate and ensure that the platform was suitable for the organisation’s wider technology and compliance requirements.

This type of project is a good example of the role hospitality IT can play beyond infrastructure: ensuring suppliers, hotel operations, commercial teams and technology requirements remain aligned.

Project Contribution
Worked directly with the hotel group and external supplier
Helped define and challenge technical requirements
Supported alignment between operational and technical needs
Reviewed the proposed solution against relevant compliance requirements
Provided technical representation during supplier engagement
04
Guest Payments & Spa Technology

Wristband Payments Across a Large Spa Resort Group

Members of our team helped introduce wristband-based payments across a large spa resort environment, allowing guests to make purchases without needing to carry cash, cards or a mobile phone around pool and spa areas.

The solution connected a guest’s locker wristband with their room or guest account, allowing purchases to be charged securely during their stay.

The wristbands could be used across food and beverage outlets, the spa shop and treatment-related transactions, giving guests a much simpler way to spend while moving around the resort.

In addition to improving convenience and reducing the need for guests to carry valuables, the easier payment journey also supported increased on-property spending and revenue opportunities for the group.

Project Outcomes
Guests able to charge purchases using their locker wristband
Reduced need to carry cards, cash or phones in spa and pool areas
Supported food, beverage, spa shop and treatment-related transactions
Improved guest payment convenience and security
Supported increased guest spending and additional revenue opportunities
05
Membership Technology

Digital Member Check-In for a Membership Club Group

Members of our team worked with a membership club group to create a practical and cost-conscious approach to member check-in and check-out.

The requirement was to make the arrival process simpler for both members and front-of-house teams without introducing an unnecessarily expensive or complicated platform.

The solution allowed members to identify themselves using a physical membership card or a digital version stored in Apple Wallet or Android Wallet.

This provided the group with a more modern member experience while keeping the technology straightforward and focused on the operational requirement.

Project Outcomes
Simple digital member check-in and check-out process
Support for physical membership cards
Support for Apple Wallet and Android Wallet
Improved member arrival experience
Value-focused solution designed around the real operational need
How We Approach Hospitality Projects

Technology That Works Around the Operation

Hotels cannot simply stop operating while technology is changed. Our approach focuses on understanding the operational impact, coordinating suppliers and reducing risk throughout delivery.

Operational First

Plan changes around guests, hotel teams, trading hours and business-critical services.

Clear Planning

Understand dependencies, risks and cutover requirements before changes begin.

Supplier Coordination

Work across hotel teams, technology suppliers and third parties rather than leaving the hotel to coordinate everything alone.

Reduce Risk

Focus on resilience, security, testing and controlled change in live hospitality environments.
